What personal data FormEase collects, why we collect it, who else sees it, how long we keep it, and how you can see, correct, or delete it. Written to meet the Digital Personal Data Protection Act, 2023.

FormEase is a privately operated platform that helps people find and apply for scholarships, government schemes, subsidies, grants and tenders. For the purposes of the Digital Personal Data Protection Act, 2023 ("DPDP Act"), FormEase is the Data Fiduciary for the personal data described on this page — we decide why and how it is processed.
We are not a government body. We are not affiliated with, endorsed by, or connected to the Government of India or any government department, and we never ask you for a payment on the government's behalf. See our Disclaimer.
We collect only what a given interaction needs. Browsing listings requires no account and no personal data beyond the essential cookies described in our Cookie Policy.
| When | What we collect | Provided by |
|---|---|---|
| You create an account | Name, email address, password (stored only as a salted hash — we never see it), and, if you sign in with Google, the name, email address and profile picture Google returns. | You / Google Sign-In |
| You send an enquiry or request a service | Name, email address, phone number, preferred contact method, the scheme or service you asked about, and whatever you write in the message box. | You |
| You subscribe to updates | Email address and the page you subscribed from. | You |
| You complete an application form | The details that specific application requires. Depending on the scheme this can include date of birth, gender, postal address, Aadhaar number, income details, academic records, land or business records, bank account number and IFSC, and any documents you upload. | You |
| You use the site at all | IP address, browser and device type, pages visited, and the referring page. Used for security, rate-limiting and abuse prevention, and — only if you accept analytics cookies — for measurement. | Automatic |
Some application forms ask for an Aadhaar number, income details or bank account details because the scheme's own form requires them. Give us these only when you are actually applying, and never send them to us over email, chat or WhatsApp. We will never ask you for a full card number, an OTP, a UPI PIN, or your net-banking password — nobody legitimate ever will.
Under the DPDP Act, personal data may be processed for a lawful purpose for which you have given consent, or for certain legitimate uses. Each purpose below states which applies.
| Purpose | Basis |
|---|---|
| Creating and securing your account, signing you in | Consent — given when you register. Necessary to provide the service you asked for. |
| Preparing, checking and submitting an application on your behalf | Consent — given when you submit the application form and accept the declaration. |
| Replying to an enquiry and quoting for the work | Consent — given when you send the enquiry. |
| Sending you updates about new schemes and features | Consent — given when you subscribe. Withdrawable at any time from any email we send. |
| Preventing spam, fraud and abuse of our forms; keeping the service available | Legitimate use — security of the platform. |
| Measuring which pages and searches actually help people | Consent — only if you accept analytics cookies. |
| Measuring whether an advertisement brought you here | Consent — only if you accept marketing cookies. |
| Keeping records of fees charged and services delivered | Legal obligation — tax and accounting law. |
We do not sell your personal data. We do not use your application data to build a profile that decides your eligibility for anything, and we do not make automated decisions about you that produce legal effects.
We erase personal data once the purpose it was collected for is served and we are not required by law to keep it — that is the standard the DPDP Act sets, and these periods are how we apply it.
| Data | Kept for |
|---|---|
| Account details | While your account is open, then 90 days after you close or ask us to delete it. |
| Enquiries and service requests | 3 years from your last contact with us, so we can pick up a returning conversation. |
| Application data and uploaded documents | 3 years after the application is submitted or abandoned, so we can help if the department queries it. |
| Newsletter subscription | Until you unsubscribe. |
| Records of fees charged | 8 years, as tax and accounting law requires. |
| Server and security logs | 12 months. |
| Your cookie choice | 6 months, then we ask again. |
If you ask us to erase your data sooner we will, except for the records a law requires us to retain — we will tell you which those are and why.
As a Data Principal under the DPDP Act you have the right to:
To exercise any of these, email privacy@formease.in from the address on your account, or use our contact page. We respond within 30 days. There is no charge. We may ask you to confirm your identity first — we are not going to hand your data to whoever asks for it.
You also have a duty under the Act not to file a false or frivolous complaint and not to impersonate someone else when exercising these rights.
Many scholarships are open to school students, so we expect some of our users to be children. The DPDP Act requires verifiable consent from a parent or lawful guardian before a child's personal data is processed, and it prohibits tracking, behavioural monitoring, and targeted advertising directed at children.
If you believe we have processed a child's data without proper consent, tell us and we will delete it.
We take reasonable security safeguards to prevent a personal data breach: traffic is encrypted in transit with HTTPS, passwords are stored only as salted hashes, access to production data is limited to the people who need it, and public forms are rate-limited and protected against automated abuse.
No system is perfect. If a breach affects your data we will notify you and the Data Protection Board of India as the DPDP Act requires, describing what happened and what to do about it.
You can help: use a password you use nowhere else, do not share account access, and remember that we will never phone, email or message you asking for an OTP, a UPI PIN, a card number or a net-banking password.
In accordance with the DPDP Act, 2023 and the Information Technology (Intermediary Guidelines) Rules, the following officer handles privacy complaints and data-rights requests:
For anything that is not a privacy complaint, write to contact@formease.in. If our answer does not satisfy you, you may complain to the Data Protection Board of India.
If we start doing something materially different with your personal data, we update this page and — where the change relies on your consent — ask you again rather than relying on the answer you gave to the old terms. The date at the top always reflects the last substantive change.
